Providence Tax & Advisory, LLC (“Providence Tax & Advisory,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy describes how we collect, use, and protect your personal information when you visit our website or engage us as a client.

We collect information you voluntarily provide, including:

  • Contact information (name, email address, phone number) submitted through forms on this website.
  • Information about your tax situation that you describe to us in correspondence.
  • Documents and financial information you provide through our secure client portal, operated by TaxDome.
  • Technical information automatically collected (IP address, browser type, pages visited) when you use our website.

How we use your information

  • To respond to inquiries and deliver the tax preparation, planning, and advisory services you request.
  • To communicate with you about your engagement.
  • To comply with legal, regulatory, and professional obligations.
  • To improve our website and services.

Confidentiality

Information shared with us in the course of a CPA-client relationship is treated as confidential in accordance with the AICPA Code of Professional Conduct and applicable Tennessee State Board of Accountancy rules. We do not sell your personal information.

When we share information

We share information only when:

  • You direct us to (for example, e-filing your return with the IRS or a state agency).
  • Required by law, subpoena, court order, or government regulation.
  • Necessary to enforce our Terms of Use or protect our legal rights.
  • Engaging service providers who help us operate the practice (document storage, e-filing software, scheduling). These providers are contractually required to protect your information.

Document security

Sensitive client documents are exchanged through our secure portal at TaxDome, which uses industry-standard encryption. Practice data and client documents are hosted on Verito's tax-industry cloud infrastructure, which is SOC 2 compliant and aligned with the safeguards described in IRS Publication 4557.

We ask that clients not transmit sensitive personal information (Social Security numbers, financial account numbers, tax data) through unencrypted channels such as plain email or website contact forms.

Cookies and analytics

Our website may use cookies and basic analytics tools to understand how visitors use the site. You can disable cookies in your browser settings. We do not use this information to identify individual visitors.

Data retention

We retain client records in accordance with IRS recordkeeping requirements and Tennessee State Board of Accountancy rules — generally seven (7) years after the conclusion of an engagement, or longer where required by law.

Your rights

You may request to:

  • Receive a copy of the personal information we hold about you.
  • Correct inaccurate information.
  • Delete your information, subject to our retention obligations.

Children

Our services are not directed to individuals under 18, and we do not knowingly collect information from children.
